Event planning isn’t just logistics. It’s the process of taking your vision, your objectives, and your guest list, and building an experience around them that runs smoothly from start to finish.
Done well, it’s invisible. Your guests don’t see the planning. They just feel the result.
Done poorly, it shows up everywhere: in the gaps, the delays, the wrong flowers, the venue that wasn’t quite ready. We’ve spent over a decade making sure it’s done well.

How we execute and deliver as event planners in Nairobi: 5 stages
Stage 1: We build the plan together
Once we understand your brief, we get to work on the big picture. This is the creative and strategic stage, where no idea is too ambitious and no question is too small.
If you have time, we can do mock setups, test table layouts, experiment with décor accessories and colour palettes, and walk through different floor plan configurations.
If you don’t have a vision board or event checklist yet, this is the right moment to build one together.
Stage 2: We Agree on the Budget
Once the plan has shape, we work through the numbers. You can guide us with a budget cap, or use our event packages as a starting point.
Your budget determines the furniture, décor accessories, and tents we book for you. We’ll send you a detailed quotation for your approval, followed by a pro forma invoice. A 20% deposit is required to lock in your booking. The final balance is due seven days before the event.
At this stage, we also sign contracts and exchange key details: delivery and collection times, main contacts on both sides, and any security information relevant to the venue.
Stage 3: The lead-up to your event
This is the period where we handle all the details so you don’t have to. If you have questions, amendments, or changes to your order at any point, reach out and we’ll sort it quickly.
For events that run through the night or involve complex logistics, we’ll assign a dedicated contact to manage those specifics on your behalf.
Stage 4: The event day
Our team arrives at the agreed time and works through the setup according to your approved event layout plan. We don’t leave until you’ve reviewed everything and given us the all-clear.
You’ll sign a delivery note confirming that everything is in order as discussed and agreed. At that point, you’ll also confirm the set-down time and the key contact from your side for the close of the event.

Stage 5: After the event
We return at the agreed time to clear down and pack up, cross-referencing everything against the delivery note before we go. For corporate clients, we can also provide a full closeout report with photos if that’s a requirement.
