If you’ve ever pictured your wedding feeling warm and grounded yet completely stunning, Crystal and Galen’s rustic wedding in Nairobi is exactly the kind of story you need to read.
Crystal came to us with a clear vision and a tight timeline: a soft, spring themed ceremony followed by a rich earthy reception, with two weeks to bring it all to life. No pressure, right?
Well, here’s how we made lemonade and what you can take from it if you are planning something similar.

The challenge
Two weeks isn’t a lot of time to plan a wedding.
Most of our couples come to us with three to six months on the calendar. Crystal and Galen had fourteen days.
The brief was also specific: a ceremony that felt serene and intentional, almost bridal in its softness, followed by a reception that completely changed the mood into something warm, textured, and full of earthy character.
Two distinct atmospheres in one venue, on one day, with one very determined couple watching every detail.
On top of that, the ceremony space came with its own challenge. A strong, relentless wind kept testing our arch all day. You would not have known it from the photos.
What we created
The ceremony: Soft, still, and all white with a touch of ivory
Crystal arrived with a detailed brief, a really useful guide for any event planner.
It cuts through guesswork and gets everyone aligned from the very first conversation.
We built the ceremony around a white fabric backdrop adorned with white faux florals that framed the arch beautifully.
The palette was deliberate: pure white against lush green grass, with every element reinforcing that feeling of calm and intention.

The ceremony arch held firm despite a persistent gale all afternoon. Soft white fabric and faux florals against open green lawn.
Down the aisle we placed white chair ties with subtle greenery on each seat, adding freshness without breaking the monochrome. Ivory lanterns lined the full length of the aisle, bringing warmth and contrast and making the walk to the altar feel like a moment in its own right.

At the altar, a natural sisal handwoven rug grounded the space and added that earthy charm that the rustic theme called for. A handcrafted raffia tower lampshade beside the arch was the detail that made guests stop and look twice. It was unexpected, it was Kenyan, and it was perfect.

We also designed a pristine white fabric welcome sign in the exact wording Crystal and Galen requested. Simple. Elegant. Completely on theme.

The reception: Where the rustic palette came alive
After the vows, the mood shifted completely and the earthy tones took over.
We used a mix of round and rectangular rustic wood tables, each dressed with sage green and rust runners for that soft but bold contrast. The combination gave the room depth without feeling overdressed.

Tan striped napkins brought a casual elegance to each place setting, paired with assorted vases filled with a mix of dried and fresh blooms in burnt orange, dusty rose, and muted greens. No two centrepieces were identical. That intentional variety made the room feel curated rather than catered.

We layered in ambient lighting throughout the space to tie the textures together and create that cosy safari-in-the-savannah feel right in the heart of Nairobi. As the evening came in and the light changed, the room became something else entirely.

Ambient lighting over natural textures. The room transformed completely as the sun went down.
The Photo Wall
No rustic Nairobi wedding is complete without a moment your guests will queue for, and this one delivered. We set up a custom Instagram-themed photo wall decked in florals from the same earthy palette. It became the most visited spot at the reception. Guests were lined up all evening, and the photos were magnificent.

The result
By the time the reception was in full swing, the transformation was complete. What had started as a serene white ceremony had become a warm, glowing, textured celebration that felt completely of a piece with who Crystal and Galen are.
Joan, where do I begin? I am sooooo blown away by the work that you and your team did yesterday. The place looked amazing, more than I envisioned. Thanks for walking this journey with us amidst a short timeline, a tight budget and an intense venue owner. I am really grateful for you and Njeri for everything.
Crystal
That message arrived the morning after the wedding. Two weeks of work. One extraordinary day. One very happy couple.
What you can take from this
If you’re planning a rustic wedding in Nairobi, the most important thing Crystal did was come with a detailed brief. It sounds simple, but it changes everything. A brief gives your planner a shared language to work with from day one. It shortens the back-and-forth, aligns the vision, and means every decision has a clear reference point. If you are starting your planning journey, build your mood board first. Then call us.
The second thing worth noting is that a tight timeline doesn’t mean a compromised result. It means your planner has to be more organised, more decisive, and more experienced. Two weeks was challenging. The outcome wasn’t.
